βAdding a Staff to SmartCarePlus
Adding staff to your SmartCarePlus account helps you manage operations more efficiently. Follow the steps below to add new staff like pharmacists or receptionists, and grant them access based on their role.
βπ Step 1: Accessing the Staffs Section
To begin, open the drawer menu from the left sidebar. Scroll down and locate the Staffs option, then tap on it. This will take you to a screen listing all the staff members added to your account.
To add a new staff, tap the Add (β) icon located in the bottom-right corner of the screen.
βπ§ Step 2: Filling Personal Details
On the Add Staff screen, enter the required personal details as described below:

πΈ Upload Profile Picture (Optional)
You can upload a profile picture for your staff member. The image must be either PNG or JPEG format and not exceed 1 MB in size. This helps in easily identifying staff within your team. -
π§βπ¬ Select Staff Type
Choose between Pharmacist or Receptionist. This is important because the system grants different feature access based on the selected role. Pharmacists may have access to medical and prescription modules, while receptionists may handle appointments and patient interactions. -
π Select Salutation
This is the prefix used in front of the first name. You can choose from βDr.β, βMr.β or βMs.β The default is βMr.β This helps maintain formal addressing of the staff across reports and communications. -
π§Ύ Enter First Name
This is the primary name field and is mandatory. The first name appears in all staff listings and user-facing areas. -
π§Ύ Enter Middle Name (Optional)
Add a middle name if applicable. This is optional and may be left blank if the staff member doesn't use one. -
π§Ύ Enter Last Name (Optional)
Provide the last name or family name of the staff member. Though optional, including this helps in maintaining complete and formal records. -
π» Select Gender
You can select Male, Female, or Other based on the staffβs identification. Gender information may be used in form reports or gender-specific communication settings. -
π Select Date of Birth
Pick the staff's birth date using the calendar interface. Note that birth dates within the last 18 years cannot be selected for regulatory and legal reasons. -
π£οΈ Select Languages Spoken
Choose one or more languages that the staff can speak. This helps in patient communication. At least one language must be selected. Supported languages include:North South East West International / Other Hindi Tamil Bengali Gujarati English Punjabi Telugu Assamese Marathi French Urdu Kannada Maithili Konkani Arabic Kashmiri Malayalam Oriya (Odia) Sindhi Chinese Dogri Santhali Russian Nepali Bodo Spanish Sanskrit Manipuri -
π Nationality
The nationality is set to India by default and cannot be changed at this time. This is a hidden field and is not shown to patients or users. -
π¨βπ©βπ§ Family Member Names (Optional)
You can optionally provide the fatherβs name, motherβs name, and spouse name. These fields are used for internal verification only and are not visible to patients or external systems. -
π Enter Mobile Number
Enter the personal mobile number of the staff. Only +91 Indian numbers are currently supported. This number is used for system communication but is not exposed publicly. -
π§ Enter Email Address (Optional)
Optionally, provide a personal email address. This is also used for internal purposes only.
After completing the personal details, tap Next.
βπ Step 3: Address Details
This page captures the staffβs residence address for internal records.
- π¬ Enter Street Address
Enter only the street and house information. Do not include state, district, or PIN code here β they are entered in separate fields. - πΊοΈ Select Country
Currently, the only supported country is India, which is pre-selected. - ποΈ Select State, District, and Sub-District
Use the dropdown menus to select the appropriate state, district, and sub-district from predefined options. These ensure standardized data for location-based reports. - π’ Enter PIN Code
Enter the 6-digit postal PIN code for the staffβs address. This helps in mapping service areas and organizing teams locally.
Tap Next to proceed.
βπ‘ Step 4: Public Contact Details
These are optional fields used to show public-facing contact information.
- π± Public Mobile Number (Optional)
This number may be shared with patients or users if needed. Only +91 Indian numbers are supported. - π§ Public Email Address (Optional)
Enter an official or public email address that can be shown on appointment bookings or contact directories.
Tap Next to move forward.
βπ§Ύ Step 5: Registration Details
This section is used for professional credentialing and internal access control.
- π Enter License Number (Optional)
Enter the staffβs medical or pharmacy license number, if applicable. This is stored securely and is not visible to the public. - π₯ Select Health Facility
Choose one or more facilities where this staff member will be active. You can add the same staff to multiple facilities. - π Enter Registration Number per Facility (Optional)
You may assign a registration ID per facility, if required by internal policies or regulatory frameworks.
Tap Next when done.
βπ Step 6: Set Login Credentials
In this final step, set up the account credentials the staff will use to access the app.
- π€ Enter Username
Enter a unique username. This will be used by the staff to log into SmartCarePlus. - π Verify Username
Click the refresh icon on the right to check if the username is available. If the username is already taken, modify it and try again. - π Enter Password
Enter a secure password to complete the login setup. Follow standard password best practices for security.
Finally, tap the Add Staff button to complete the process.
ββ What Happens Next?
Once added, the staff member can log into the SmartCarePlus app using the created username and password.
